To improve productivity, I would attempt to reduce the amount of travelling time, especially if it is for a meeting where the resources can be shared online. I have recently used TeamViewer as a tool for sharing and collaborating, prior to that I have been using NetMeeting.

That has been working well for simple sharing of documents such as pdfs or Powerpoint presentations. To move beyond that to something like drawing on a white board simultaneously would be a challenge for TeamViewer.

What other recommendations are there?

Firstly, i would go into the cloud, as you can never be sure today what system your team mate is using (Mac, Windows, Android Tablet (browser functions are still big matter here) limited by connection speed.

Drop Box i would use for sharing files, you can give access to specific folders, easy access you dont have to upload as it works like a synced online directory vs. email attached files you firstly have to upload yourself.

Google Docs offers drawing capabilities, so i would take a look at it as many already have an google account.

There was also Google Wave, but afaik they abandoned it.

You've got to upload the file you share, regardless of how it's being transferred. Otherwise how does it get there? –  Bill Weiss Jul 25 '11 at 16:34
    
@bill obviously but most of us already backup their files on drop box, if you want to share it then with a team mate in a online meeting, he can simply download, as it is already "online". For collaborating with someone on a file as i said i would choose cloud based software for mentioned tasks –  Hauser Jul 25 '11 at 16:44

a great whiteboard tool, though not too wellknown, is Scriblink. It's a free tool whicht gives a whiteboard on a unique URL, that you can share with others. File sharing, chat and audio are included.
